About this policy
NEXA Central is a workforce app provided by OONE POWER TECHNOLOGY CO., LTD. ("we", "us") to organizations that use it for their employees. This policy explains what information the app collects, how it is used, who it is shared with, and the choices you have. Your employer (your "organization") decides which features are available to you and is responsible for the HR records it keeps in NEXA Central.
Information we collect
- Account and profile: your name, employee number, position, department, work email, phone number and profile photo, as kept by your organization.
- Work records: attendance and check-in times, leave, overtime, exceptions, missions, requests and approvals, payslips and pay estimates, training, documents and announcements.
- Location: only when you record attendance, to confirm you are at a workplace that requires it. The app does not track your location in the background.
- Camera and photos: when you scan an attendance QR code, take or choose a profile photo, or attach a photo or document to a request.
- Microphone and speech: when you record a voice message, make a call, or talk with the NEXA assistant. Speech is turned into text so the assistant can understand it.
- Device information: a push notification token and an installation identifier, so notifications reach your device.
Face ID or Touch ID, if you turn it on to unlock the app, is checked by your device. We never receive your biometric data.
How we use it
- To provide the app's features: attendance, requests and approvals, payslips, training, announcements and your profile.
- To send you notifications about your own HR activity.
- To keep your account secure and the service reliable.
We do not sell your information, and we do not use it for advertising or for tracking across other apps and websites.
AI Assistant
If you choose to use the AI Assistant in NEXA Central, the app sends the following to our AI service providers, only to answer you and to carry out what you ask in the conversation:
- your questions and the conversation so far;
- the HR records needed to answer them, such as your leave, attendance, pay and profile;
- files and photos you attach;
- what you say to NEXA by voice, as text.
Who receives it: OpenRouter, which runs Google Gemini AI models to write the answers, and Google, which turns NEXA's spoken replies into speech. We share this data only with providers that protect it to the same or an equal standard as described in this policy.
Your choice: nothing is sent until you allow it in the app. You can withdraw permission at any time under AI Assistant settings or on the Privacy page in the app, and the AI Assistant then stops sending anything.
Who can see your information
You, and the authorized HR and management staff of your organization. Each organization's records are kept separate and are not visible to other organizations using NEXA Central.
We also use service providers to run the app: cloud hosting and storage, Google Firebase to deliver push notifications, and the AI providers named above. They process information only on our behalf and only for these purposes.
How your information is protected
You sign in through your organization's secure identity provider. Information travels over encrypted connections, and your session is stored in your device's encrypted keychain. Access inside your organization is limited by role.
How long we keep it
Work records are kept for as long as your organization needs them for employment, payroll and legal purposes, under its own retention rules. Information stored on your device is removed when you sign out or delete the app.
Your rights and choices
- Review and update your personal information in the app.
- Turn location, camera, photos, microphone, notifications and Face ID on or off in your device settings.
- Allow or withdraw the AI Assistant's data sharing at any time in the app.
- For correction or removal beyond what the app allows, contact your organization's HR administrator.
Children
NEXA Central is a workplace app for employees of organizations. It is not intended for children.

We may update this policy as the app changes. The date at the top shows the latest version.
